ZautoAI Data Deletion Instructions

Use this page to understand how to submit a deletion or erasure request covering any data we process through our AI automation products, WhatsApp interactions, or support engagements. It supplements our Privacy Policy.
1. Commitment & Eligibility
ZautoAI honours deletion/erasure requests made under DPDP 2023, GDPR, CCPA, LGPD, HIPAA BAAs, and our commercial contracts. Any individual or organisation that engages with Voice EMR, Dialogue Intelligence, PRM, Revenue Insights, onboarding forms, or WhatsApp templates can exercise these rights.
We determine whether we act as the data controller (marketing leads, WhatsApp opt-ins, support tickets) or as a processor/business associate (customer-managed patient/provider data). When acting as a processor we coordinate with the covered entity before deleting data.
2. Data Covered & Exceptions
Eligible data types include:
- Identity & contact data (name, job title, work email, phone/WhatsApp number, postal address)
- Product and clinical artifacts generated inside ZautoAI (audio files, transcripts, EMR outputs, PRM/Revenue analytics, workflow assignments)
- WhatsApp conversation history, consent logs, template metadata, and opt-in/out evidence
- Support tickets, chat/email transcripts, implementation documents, and training feedback
- Facebook/Meta user profile information, business account permissions, and cached OAuth data
We retain limited data where legally required (billing/tax invoices, fraud logs, signed agreements, suppression lists, or encrypted backups kept for 35 days). Aggregated/anonymised analytics and legal holds are excluded until obligations expire.
3. Submission Channels & Steps
Choose any channel below and include enough information to locate your records:
Option A: Manual Request Channels
- Email: Send the subject "Data Deletion Request" to privacy@zauto.ai. Provide your full name, organisation, WhatsApp/phone number, and the data types to remove.
- Web form: Use contact.html and pick "Privacy/Data Removal." You will receive an automated ticket ID instantly.
- WhatsApp: Reply "DELETE MY DATA" on any active thread with our WhatsApp Business account. We acknowledge within one business day and guide you through verification.
- Phone: Call +91427-4510394 (Mon–Fri, 9 AM–7 PM IST) and ask for the Compliance Desk. We will log your request and send a confirmation email.
Option B: Automated Facebook/Meta Data Deletion Callback
- Via Facebook Settings: Go to Settings & Privacy → Settings → Apps and Websites → Find "ZautoAI" → Remove App → Select "Delete my information from ZautoAI"
- Automated API Processing: Meta will send a signed deletion request to our callback endpoint:

- What Gets Deleted: Your Facebook user ID, profile information, OAuth tokens, business account permissions, analytics data tied to your account, and any cached Facebook data
- Tracking: You will receive a unique
confirmation_code and status_url from our API response. Check deletion progress at our documentation portal.
- Timeline: Deletion is processed within 30 days as required by Meta's Platform Policy. Status updates:
pending → processing → completed.
4. Verification & Timeline
- Acknowledge: Ticket confirmation within 1 business day.
- Verify identity: Within 2 business days we request validation (business email reply, agreement ID, or OTP to your WhatsApp/phone number). Note: Facebook/Meta API requests are automatically validated via signed_request parameter.
- Process deletion: After verification we delete or irreversibly anonymise data within 30 calendar days, unless your contract mandates a shorter SLA.
- Confirm: We send a completion email summarising what was deleted, any retained records (and reasons), and suppression list updates.
Complex, multi-system requests may require more time. If so we provide weekly status updates until completion.
5. After Deletion
- User accounts/API tokens are disabled while essential security logs remain for audit purposes.
- WhatsApp numbers/emails are added to a suppression list for 36 months to prevent future outreach unless you opt in later.
- Encrypted backups overwrite automatically within 35 days; deleted data is not restored unless legally compelled.
- For hospital deployments we notify your administrator so they can align internal records.
- Facebook/Meta integrations are permanently revoked and cannot be restored.
6. Status Tracking & Escalation
For manual requests: Reply to the ticket email, message your Customer Success Manager, or email privacy@zauto.ai with your ticket ID to check progress.
For Facebook/Meta API requests: Use the confirmation_code and status_url returned from our API, or check your request status in the API documentation portal.
Escalations are handled directly by our compliance leadership team—email

if a request needs urgent attention or you wish to lodge a complaint. We reply within two business days; unresolved issues may be raised with the DPDP Data Protection Board of India, EU supervisory authorities, the California Attorney General, or Meta's WhatsApp Business support team.
7. Important Notes for Facebook/Meta Integrations
- Signed Request Validation: All API deletion requests are validated using Meta's signed_request parameter and app secret for security.
- Asynchronous Processing: Deletion is queued in our database with status tracking. Actual data removal happens asynchronously to ensure system integrity.
- Irrevocable: Once completed, Facebook/Meta data deletion cannot be undone. You must reconnect and re-authorize if you wish to use ZautoAI with Facebook Login again.
- Compliance: Our data deletion callback fully complies with Meta's Platform Policy requirements.
